Workplace Productivity

By: 1Lt. Ortiz, Marten, RC-EAST OPS SUPPORT ANALYST

Many productivity methods recommend prioritizing daily tasks based on the time and effort they demand, suggesting individuals prioritize the most resource-intensive tasks first.

This strategy can be effective for some individuals, as completing the most challenging and demanding tasks first can provide a sense of accomplishment and motivation. Alternatively, motivation can also stem from working toward a larger goal. What if you prioritized your tasks based on their importance and impact, regardless of their size?

Armed Force's Commanders establish priorities for each proficiency area, including mission-essential tasks, weapons qualification, and collective live-fire tasks, in order to meet mission requirements. They then plan events to achieve the necessary proficiency.

How is this accomplished? With the use of a Mission Essential Task List (METL).

A Commander's Mission Essential Task List (METL) consists of crucial tasks for completing assigned or anticipated missions. It outlines essential tasks, conditions, standards, and supporting and command-related tasks. The standardized METL represents the capabilities and collective tasks that a unit must perform. Junior leaders and support staff have asked, "Should we prioritize our daily tasks the same way our Commander views his organizational METL?"

At the individual level of the Armed Services workplace, various methods of work prioritization have emerged that challenge or overturn conventional or mandated approaches. Individuals should consider a broader perspective rather than beginning the day with the most unpleasant, time-consuming, or demanding task, as noted by the Soldier's term "eat the sh*t first" approach.

When your enemy is a lengthy to-do list, it is easy to become fixated on individual tasks rather than the broader goal you strive to achieve. Shifting your focus to the goal can enhance motivation, increase productivity, and achieve more favorable outcomes.

How can shifting focus to the goal enhance motivation, increase productivity, and improve outcomes?

First, it is essential to define your goals clearly; once determined, aligning your daily actions with your overarching objectives becomes easier. By breaking down your long-term aspirations into smaller, achievable steps, you create a roadmap to success. This structured approach boosts productivity and provides motivation as each small victory brings you closer to your ultimate goals. Remember, consistency is key to turning your dreams into reality.

Identify key objectives for each workday, aligning with long-term goals, to maintain focus and purpose throughout tasks. Every task contributes to achieving a broader vision. Due to the nature of the Armed Services, the constant influx of emails and PowerPoint presentations demands support for various workplace initiatives. Evaluate the outcomes of your tasks and prioritize those that yield quick or significant results. Focus on the two or three tasks that will most impact that day, helping you progress toward your goal.

Prioritize and complete the two or three most important tasks, then address the remaining, less urgent tasks throughout the day. Consistently apply the prioritization method by listing your daily tasks in the morning and reflecting on your progress in the evening. End-of-day reflection is crucial: it allows you to assess how tackling these critical tasks contributes to your goal and helps maintain motivation as you progress.
